PRIMARY RESPONSIBILITIES:

  • Dispatch the field labor as directed and maintain a Google Doc daily schedule of the project locations for all field labor
  • Maintain a Special Projects Contract Tracking Google Document to track all contracts, subcontracts, purchase orders, purchase agreements, field work orders, and certificates of insurance. Follow these documents through to make sure that they have all of the requisite signatures and initials, and are entered into the system.
  • Follow up with all subcontractors to make sure the certificates of insurance are in place prior to the work onsite and cover the correct time period. Ensure the certificates of insurance are entered into the accounting system.
  • Expediting & Purchasing - Expedite and organize project vendor quotes, purchase orders and agreements, submittals, shop drawings, and deliveries. Prepare and maintain all related logs
  • Put together packages for field personnel to receive including a hard copy of all drawings, specifications, approved submittals and RFI's for projects
  • Project Administration - Provide all typing, filing and clerical support for the Project Manager(s), maintain project files and drawings, prepare operation and maintenance manuals and project close-out documents
  • Provide Bid support - soliciting quotes from subs and vendors as directed by the Project Manager(s), downloading bid documents
  • Prepare documents required for project billings such as certified payroll and expedite collections

 

REQUIREMENTS:

  • Education:  A high school diploma is required
  • Excellent communication skills both written and oral
  • Experience in a construction preferred
  • Competent knowledge of computers is required. Understanding of Microsoft Office is required including Outlook, Excel, Word.   
  • Experience with Google Drive and Google Documents is preferred
